Office Administrator

Open As Part-Time Role (3 days / week or compressed hours 5 days / week) Or Full-Time Role

Introduction: aHV Solutions is a small company that supports our customers to develop high power density electric propulsion systems through a combined approach of training, consultancy and lab testing. We are entirely run by engineers and scientists who currently all have an active involvement in technical delivery. We are looking for an administrator to help with a wide range of tasks across the business to enable the staff to spend more time on project delivery.

We are looking for someone who can be flexible to meet the widely varying and daily changing needs of the business. The ideal candidate will be highly organised and proficient in Microsoft office software which we use for a range of accounting and administrative tasks. The right candidate will be able to use their initiative to continuously improve our systems to maximise accuracy and efficiency of internal processes.

Technical knowledge is not required to do the job but, but a level of technical interest will be beneficial as this will help with integration with the rest of the team. On-the job training will be required for all tasks which shall be introduced in a managed fashion to ensure a manageable routine can be maintained. 

Role Description

Management Support
  • Provide Support to Managing Director on basic accounting functions using company online software
  • Creating, tracking and chasing invoices
  • Logging new purchase orders on system
  • Make sure staff annual leave is logged in the all staff calendar

Lab Operations
  • Inventory management of lab consumables
  • Arrange for repairs/disposal for any quarantined items

Project Delivery
  • Ensure all live projects have Project Management Plans
  • Confirm lead times with suppliers and inform Project Managers 
  • Collect client feedback from portal in one master excel sheet
  • Follow up on action items raised during project status meeting and coordinate with the Operations Manager
  • Ensure IT inventory sheet is up-to-date and all staff laptops/devices have aHV device numbers
  • Monitoring of timesheets

AS9100 Process
  • Ensure all internal projects have QA12 documentation and send reminder emails or inform me if QA12 not being followed. 
  • Make sure CARs are being filled and approved for the deficiencies raised
  • To be responsible for supplier evaluation as the person responsible for purchasing


Portal / Marketing

  • Supporting the development of content for the portal (particularly the coordination of pages showcasing our capability / FAQs etc.)
  • Managing portal users
  • Developing a process by which we can take payments from the portal
  • Maintaining a plan of regular LinkedIn posts that will showcase our work 

Salary & Holidays

The role is based from our office in central Manchester at: Unit 3, Rutherford House, Pencroft Way, Manchester, M15 6SZ

Hours Of Work:
 3 days per week equivalent minimum (but the hours can be flexible to suit the right applicant - e.g. during school holidays).

Salary
: FTE: £22,750 + 36 days holiday including bank holidays  + 3% company pension (when matched > 3% by employee). A candidate seeking a part-time position would receive a pro-rata salary entitlement / holiday.
